Business Operations Coordinator

Job Description:

As a Business Operations Coordinator at Agilis Health Inc., you will play a key role in supporting the smooth delivery of medical education programs, client-related projects, and operational activities across the business. This role is grounded in organization, coordination, and reliable execution, helping ensure our projects, events, and internal processes run efficiently.

You will support a wide range of operational tasks, including HCP agreements, venue booking, sponsorship and grant submissions, project tracking, and logistics for educational events and company meetings. You will also assist with social media posting, slide and document creation, and onsite support at HCP conferences as needed.

Bilingual (EN & FR) an asset.

Core Responsibilities

  • Sponsorship & Grant Submission Support: Assist with preparing, formatting, and submitting sponsorship and grant materials; maintain trackers for deadlines, approvals, and follow‑up actions.

  • Project Coordination & Tracking: Maintain project trackers for sponsors, deliverables, timelines, and budgets; support scheduling, documentation, and follow‑up tasks to keep projects on track.

  • HCP Agreements & Compliance Support: Coordinate drafting, routing, tracking, and filing of HCP agreements; support honoraria tracking and ensure documentation aligns with compliance requirements.

  • Venue Research & Booking: Source, evaluate, and secure venues for educational programs, advisory boards, and internal meetings; coordinate logistics including A/V, catering, and room setup.

  • Educational Event Support: Assist with planning and executing CME/OLA programs, workshops, and other learning activities; coordinate speaker logistics, participant communication, and post‑event tasks.

  • Conference & On‑Site Support: Attend HCP conferences and meetings as needed to support onsite setup, registration, logistics, and coordination with speakers and vendors.

  • Social Media & Communications: Post educational events and program updates across social media platforms to support HCP engagement; assist with drafting short communications and promotional messaging.

  • Slide & Document Creation: Support the development of slides, agendas, meeting materials, and other documents as needed; ensure formatting consistency and version control.

  • General Administrative & Operational Support: Assist with internal meeting coordination, file organization, and process improvements; provide additional operational support across the business as required.
